IT asset management software: how to choose one for a Microsoft environment

Every IT asset management platform's homepage looks roughly the same: track hardware, manage licenses, cut costs. The differences that actually matter only show up once you're running it against a real Microsoft-first environment, so it's worth going into a buying process with a specific checklist rather than a feature-list comparison.

What should you check before a demo?

• Does it read your Entra ID directory natively, or does it need a separate sync tool or CSV import to know who your users are?
• Does it reconcile against Intune and Windows Autopilot by serial number, or just list devices it was told about manually?
• Does it sync Microsoft 365 SKUs and map GUIDs to friendly plan names, or leave you decoding subscription IDs yourself?
• Can purchasing approvals happen inside Teams or Slack, or does every request need a separate portal login?

What questions should you ask any vendor directly?

• What permissions does the Microsoft Graph connection actually request, and is any of it write access?
• How is warranty data kept current: a one-time lookup at creation, or a scheduled re-sync?
• Is there a defensible, signature-backed record of who had a device and when, or just a free-text notes field?
• What does the tool do with data you already have; can you import an existing spreadsheet register without starting from zero?

What separates a good fit from a bad one?

The honest answer is how much manual reconciliation the tool eliminates versus how much it adds. A platform that pulls Intune, Autopilot, Entra ID and Microsoft 365 licensing together automatically removes the monthly CSV-export ritual most IT teams are stuck doing today. One that just gives you another place to manually enter the same data you already have somewhere else is a net loss, however polished the interface.
